Dynamics Tips:

Build Information Lookups
Looking for needles in a haystack? Microsoft Dynamics GP offers still more ways to find the information you need. Read this article to learn new search methods.

Making the Most of the Lookup Window

For starters, you can use the Lookup window within Advanced Search. Just take the following steps:

  1. Click the Advanced Search icon (which looks like binoculars) to access the Search window.
  2. Using the Search window you can specify up to four different search parameters along with a variety of operators.
  3. Based on your results, you can narrow your search by applying restrictions to one or more criteria or operators. For example, you could restrict a customer lookup to display only customers in a particular state or ZIP code. Or you could limit the results of an account lookup to show only sales accounts.

Leveraging Lists

You can also use Lists for searches by taking the following steps:

  1. Select the appropriate lists using the View menu. Go to View > Financial Lists, or View > Purchasing Lists, etc. Each of these options can be used to locate records quickly—an alternative to the traditional lookups in Microsoft Dynamics GP, which some users find slow.
  2. Once the list is open, you can use the Columns icon to control the information displayed in the list.
  3. Enter a value in the Look For field, and click Find Now to search all displayed fields for the values specified. Microsoft Dynamics GP refreshes the screen to display the results.
  4. In addition, you can further specify the results using the drop-down menu at the top of the list—for example, controlling the type of records displayed (open or history, active or inactive, or date ranges).
  5. The Actions menu can also be used to perform a variety of actions, including inquiry and transactions for the selected record.
